Ayurveda and Yoga – Where Science Meets Consciousness” will bring some of the world’s most renowned practitioners of Ayurveda and Yoga together to explore, in depth, the relationship between Ayurveda and the practice of Yoga. Combining the wisdoms of Ayurveda, the Knowledge of Life, and Yoga, the practice of which brings about the Union of Mind, Body and Soul, enables us to come to a more profound understanding and experience of physical, mental and spiritual well-being. Based on the success and experience of our 2006 conference which attracted 650 registrants, we are expecting 1000-1200 people at this conference, of which 200-250 will from countries outside India.

The expo at the conference will provide a fabulous opportunity to make and develop business-to-business relationships. Suppliers of Ayurveda and Yoga products, books, supplies, consumables, equipment, massage beds, incense and hospital-care providers have already agreed to participate at this expo.

It is a collection of booths in a green field site with a rain proof cover, off a path leading to the main conference arena, and adjacent to the dining facilities.

BOOTH SIZE

3m by 3m by 2.5 m high (10’ by 10’ by 8’ high).

RATES

Basic Booth Price:

Rs 20,000 (US$ 750) if booked by August 15, 2007 .
Rs 25,000 (US$ 950) if booked on/by January 15, 2008.
Rs 30,000 (US$ 1,125) if booked after January 16, 2008.

Additional booths : There will be a 10% discount for two booths, 20% discount for three booths and 30% discount for four or more booths.

Corner booth : There will be a 10% additional fee for a corner booth.

Taxes : All payments will be subject to local taxes as applicable.

REFUND POLICY

Refund of 75% of all fees payable will be refunded for cancellations received by organizers on or before January 21, 2008 . No refunds will be payable for cancellations on or after January 22, 2008 .

PACKAGE CONTENTS WITH EACH BOOTH

  • 2 Exhibitor passes for the entire Conference (includes lunches and dinners for the five days),
  • 2 chairs,
  • 1 table,
  • 1 fan,
  • 1 light,
  • 1 plug point (rated to 15 Amps),
  • Floor cleaning once a day,
  • Free listing in conference website ( http://www.ayurvedaconference.com/); and
  • Discount of 15% on advertisements in conference brochure.

 BOOTH PAYMENT

To secure your booth, payment must be made in full at the time of booth booking.

 MOVE - IN

Move-in will be from 12:00 noon until 6:00 PM on Wednesday February 20, 2008 . All exhibitors must be moved in by 8:00 PM unless prior arrangements have been made. Let us know if you have any special move-in needs. Vehicular access is limited and parking is very limited. It is encouraged that you use small size vehicles. Please move your vehicles as soon as you unload your materials. Any booth unoccupied as of 9:00 AM on Thursday February 21, 2008 , will be considered cancelled and will be re-rented by the organizers, without compensation to the Exhibitor.

 MOVE-OUT

Move-out will take place from 3:00 pm until 6:00 PM on Monday, February 25, 2008 . All exhibitors must be moved out by 8:00 PM unless prior arrangements have been made. After this time, the conference organizers have the authority to remove and dispose of the Exhibitor’s property and the Exhibitor will be liable for all costs incurred by the organisers, in connection with such removal and disposal. Vehicular access is limited and parking is very limited. You are encouraged to use small size vehicles. Please move your vehicles as soon as you load your materials

CONFERENCE HOURS

Due to the nature of the conference, conference proceedings will start at dawn and end late at night every day.

 STORAGE

NO STORAGE WILL BE PROVIDED.

 EXHIBITOR HOURS

Exhibitors will have access to the expo area from:

Wednesday February 20: 12:00 noon until 6:00 PM (Move In);

Thursday February 21 to Sunday February 24: 8.00 AM – 6.00 PM; and

Monday February 25: 8:00 AM to 2:00 PM

 EXHIBITOR BADGES

Each exhibitor will automatically receive two (2) free registrations for the entire conference per booth. Additional badges may be purchased for Rs 1,000 each, and will include all meals but NOT access to the conference proceedings.

 PARKING

There is very limited parking.

 SECURITY

Security will be provided for your protection. However, we are not responsible for theft. We recommend that you take precautions and not leave valuable items in your booth overnight. Security guards are on duty during the conference and security is on site after hours and overnights. Although security services will be provided at the Conference, Exhibitors are responsible for their valuable items. Conference organizers and Parmarth Niketan Ashram are not liable for theft or damage to Exhibitor products or materials. Fire and theft insurance, if desired, must be taken out by the Exhibitor at their own cost and expense.

 CLEAN - UP

At move-in and move-out, Exhibitor is responsible for the clean up and deposit of all trash including, but not limited to boxes, paper, plastic wrap and Styrofoam peanuts in waste baskets so that area may be cleaned. Exhibitor will incur a Rs 500 cleaning charge for each of their booth/s that is/are not cleaned up.

 SMOKING RESTRICTIONS

In compliance with the hosting ashram and the organizers policy, smoking is prohibited in all areas of the Ashram and conference premises.

 SOUND EQUIPMENT

Sound equipment may not project sound beyond the confines of the booth area. Please bring headphones as appropriate.

 ACCOMMODATION

Exhibitors have to arrange for their own accommodation. There is adequate accommodation available at the Parmarth Niketan Ashram. Contact the Conference Event Management Team (CEMT) at conference@punarnava.com for details.

EXPO REGULATIONS

PLEASE ENSURE YOUR BOOTH STAFF HAVE THIS INFORMATION .

  • Microphones, music or VCRs used in your booth must not interfere with your neighbors. Conference Event Management Team reserves the right to request exhibitors to turn down their audio equipment where necessary.
  • Exhibit space must be large enough to contain a reasonable audience if demonstrations are planned. The aisles must not be blocked.
  • Promotional materials may be distributed only in the exhibitor's booth and must directly relate to the exhibit.
  • All exposed parts of displays must be finished so they do not present an unsightly appearance when viewed from adjoining booths or aisles.
  • Exhibitors may not share booth space without the prior written approval of the CEMT.

Boxes must be stored under tables

OTHERS

  • Any matter not specifically covered shall be subject solely to the decision of the CEMT.
  • Violation of the Exhibitor rules shall be cause for either immediate expulsion of the Exhibitor without recompense, or rectification by the CEMT, at the Exhibitor’s expense.
  • The CEMT, reserves the right to refuse/revoke any booth rental application without explanation.
  • Amendment: This Agreement shall not be altered, changed or amended except by an amendment in writing executed by the parties hereto.
  • Binding Effect: This Agreement shall be binding upon and inure to the benefit of the parties hereto and their respective successors and permitted assigns and is specifically enforceable.
  • Force Majeure: CEMT shall have no liability to the Exhibitor, and the Exhibitor shall have no claim or action against the CEMT, because of CEMT ’s failure to perform any of its obligations in the Agreement if the failure is due unforeseen occurrences or to reasons beyond the CEMT’s reasonable control, including without limitation, strikes or other labor difficulties, war, riot, terrorism, civil insurrection, accidents, acts of God or governmental authorities in connection with a national, state, or local emergency. In such event, the Exhibitor’s sole remedy shall be limited to cancellation and the CEMT, may retain such part of each Exhibitor’s rental as shall be required to cover expenditures already made up to such occurrence.
